Who we are

This privacy policy applies to the Nile AI website at https://nileai.au and to the services delivered under the Nile AI brand. Nile AI is a trading brand of Nile Capital Aus Pty Ltd (ABN 40 141 803 330), based in Melbourne, Australia.

In this policy, "we", "us", and "our" mean Nile Capital Aus Pty Ltd operating as Nile AI. "You" means anyone who visits the site, books a call, engages us for the AI Assessment or follow-on work, or contacts us.

About this policy

This policy explains what personal information we collect from you, how we use it, who we share it with, and the choices you have. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) where they apply to us. Even where the Act does not technically apply to a small business like ours, we hold ourselves to those standards.

What we collect

Depending on how you interact with us, we may collect:

  • Identity and contact information: your name, business name, role, email address, phone number, and any other details you provide when you book a call, fill in a form, or email us.
  • Engagement information: the content of our calls and emails, your responses during the discovery interview, and any documents, recordings, or workflow details you share with us during a paid engagement.
  • Website usage: anonymised analytics about pages visited, device type, and country. We do not use third-party advertising cookies or trackers.

We do not knowingly collect sensitive information (health, racial or ethnic origin, religious or political views, sexual orientation, biometric or genetic data). If we ever need to, we will ask for your consent first.

How we collect it

We collect information directly from you when you:

  • book a call through our scheduling tool (currently Calendly);
  • email us or fill in a form on the website;
  • engage us for an AI Assessment or follow-on implementation work;
  • visit the website (anonymised analytics only).

We do not buy personal information from third parties.

How we use it

We use your information to:

  • schedule and deliver the call, assessment, or engagement you asked for;
  • prepare and send the written report, proposal, or other deliverable;
  • communicate with you about the work and follow up afterwards;
  • improve our service, templates, and internal process over time;
  • meet our legal, tax, and record-keeping obligations.

We do not sell your information to anyone. We do not use it for advertising.

Who we share it with

Some information is processed by trusted third parties so we can do our work. The current list of these providers:

  • Calendly for booking calls. Calendly is US-based.
  • Fathom (or an equivalent meeting tool) for recording and transcribing the discovery interview, with your consent at the start of the call.
  • Anthropic (Claude) for AI-assisted analysis of the interview transcript and document drafting. We do not submit identifying detail beyond what the work requires.
  • Vercel for hosting this website. Vercel is US-based and uses global edge servers.
  • Email and document storage providers that we use to send and store deliverables.
  • Our professional advisers (accountant, legal, IT support) where strictly needed.

We do not share your information with any other third parties unless required by law or you have given us your consent.

Where we store it

Most of our records are stored in cloud services that operate from Australia, the United States, or both. Where information moves overseas, we take reasonable steps to make sure it is protected by similar standards to those in Australia.

How long we keep it

We keep client and prospect records for as long as we reasonably need them to deliver the work, meet our legal and tax obligations, and respond to any future questions about the engagement. After that, we delete or de-identify them.

Cookies and analytics

The website uses minimal, privacy-respecting analytics so we can see which pages are read and where traffic comes from. We do not run third-party advertising cookies or marketing trackers on this site.

Your rights

You can ask us to:

  • tell you what personal information we hold about you;
  • correct anything that is out of date or wrong;
  • delete information we are no longer required to keep;
  • explain how a decision about you was made.

Complaints

Security

We take reasonable steps to protect your information from misuse, loss, unauthorised access, and improper disclosure. No system is perfectly secure, but we use providers and practices that meet a sensible standard for a small Australian consulting practice.
